Emailed purchase orders into ERP sales orders, without the keying

Order Entry reads the purchase orders your customers already send, matches every line to your catalogue, checks it against your ERP and posts the sales order. When it isn’t sure, it asks a person.

Keying orders is the most expensive copy and paste in your business

Your customers send purchase orders in their own format, with their own part numbers. Someone on your team reads each one and types it into the ERP, line by line.

  • Hours of keying every week

Long orders tie up your customer service team at the busiest times of day, and the queue grows when someone is away.

  • Mistakes you find too late

A wrong SKU, an old price or a missed line only shows up when the customer rings about the delivery.

  • Slow confirmations

Customers wait for an order confirmation while their PO sits in an inbox, so they ring to check it arrived.

How Order Entry works

  1. 1

    Every format

Customers keep sending POs the way they do now, as PDF, Excel or CSV attachments, in the email body, or as scans and photos. Each business gets its own forwarding address.

  2. 2

    No templates per customer

It reads a new customer’s layout on their first purchase order. A person confirms the mapping once, and it’s remembered.

  3. 3

    Matched to your catalogue

Customer part numbers, old codes and descriptions are matched to your SKUs, then checked against that customer’s price, your stock and their credit in the ERP.

  4. 4

    Confidence and exceptions

Lines above the confidence level you set post straight to the ERP as a sales order. The rest wait in an exception queue, beside the source document.

  5. 5

    Learns from corrections

Each fix updates that customer’s cross-reference, so the same part number goes straight through next time.

  6. 6

    Closes the loop

The customer gets an order confirmation automatically, with any price or stock differences flagged for them.

What it reads

  • PDF purchase orders
  • Excel and CSV order files
  • Orders typed into the body of an email
  • Scanned and photographed purchase orders
  • Customer part numbers, old codes and plain descriptions

What it checks in your ERP

  • Every line matches a product you actually sell
  • The customer’s own price, contract price or price list
  • Stock on hand, so short lines are flagged before you confirm
  • Credit limits and account holds

You see exactly what it did, and why

Every order arrives with its source document, a confidence score for each line and the reason for anything it held back. Approve a line, pick the right SKU or fix a quantity, all from one screen.

How our AI stays safe

The same rules apply to every co-worker, whatever it does.

  • A person approves when it isn’t sure

You set the confidence level. Anything below it waits for one of your team.

  • Every action is logged

Each order, quote or message is recorded against the document it came from.

  • The same permissions as your staff

Co-workers follow the same user roles and permissions as the people on your team.

  • Your data stays in Australia

Customer and order data is hosted in Sydney, Australia.

  • You see what each one did

A dashboard shows what each co-worker processed, how accurate it was and the time it saved.

Posts straight into the system you already run

Order Entry writes sales orders through the same native integrations as the rest of TierCommerce, so there’s no middleware or CSV import in between.

Order Entry questions

Which purchase order formats can it read?

PDF, Excel and CSV attachments, orders typed into the body of an email, and scanned or photographed purchase orders. Customers keep sending POs the way they do now.

Do I have to set up a template for each customer?

No. Order Entry reads a new customer’s layout on their first purchase order and shows a person how it mapped the fields. Once that’s confirmed, it remembers the layout.

What happens when it isn’t sure about a line?

You set the confidence level. Lines below it don’t post to your ERP. They wait in an exception queue beside the original document, so a person can pick the right SKU or check the price, then approve.

Which ERPs does it post orders into?

Any system TierCommerce integrates with natively, including NetSuite, Xero, MYOB, Pronto Xi, Options ERP, Business Central, Cin7 and Unleashed. It uses the same integration as the rest of the platform.

How accurate is it?

Accuracy depends on how your customers write their orders, so we measure it per customer and show it on your dashboard. We’ll publish real numbers from our design partners rather than quote a figure we can’t back up.

Does it learn customer part numbers?

Yes. Every correction a person makes updates that customer’s cross-reference between their codes and your SKUs, so the same line goes straight through next time.

Where is our data stored?

Purchase orders and order data are stored in Sydney. Every action Order Entry takes is logged against the document it came from.
